Using SNA File Transfer Service

The Sine Nomine Associates File Transfer Service application is a powerful tool which allows users to manage and share their documents online. The program has been made available as a service to SNA customers. Users may login into the File Transfer Service application through the Customer Portal on the Sine Nomine Associates website, create folders, upload and edit documents, establish permissions, and share the documents with others who might have an interest.

Getting started

To access SNA File Transfer Service, click on the Customer Portal item from the Sine Nomine Associates main menu. Select SNA File Transfer Service. From this page, choose “customer” from the list of options, and then select the desired company or project name from the resulting directory. Once the user has chosen their company's section of the program, he or she may create folders and documents of their own, read other documents pertaining to projects, or edit, move or delete existing documents. Some documents may not be changed, depending on the permissions set by their creator.

Menus

The File Transfer Service application has a very simple layout with three sections:

  1. Location
    Found at the top of the screen, this is the “breadcrumb-like” path that shows users where they are in their work.

    ex. /afs/sinenomine.net/customer/company/filename

    There is also an option to change location in the browser. Users may choose the “Change” button next to the location path and be given a text box to type in a new location. They may then click “Go” to make the change.

     

  2. Go Up and Refresh
    The “Go Up” and “Refresh” button can be found on the same line as Location. “Go Up” allows users to move backward in the file directory, or “Go up” to the next level. “Refresh” allows users to see changes made to the page or document. Users may also change location by clicking on the desired section of the path.

     

  3. Folders/Documents Directory
    A list of folders and/or documents available appears in the center of the page. Users can create and arrange folders, subfolders, and documents, and can control access to these by other users.

    The folder list includes:

    • Name of the document or folder
    • Type, either document or folder
    • Size of the document or folder
    • Date the document or folder was last updated.
    • A check box to allow management of the document or folder.

    The default for the list will display the most recently modified document or folder at the top, but this option may be changed to reverse order by clicking on the small arrow beside “Last Modified.”

     

  4. Folder Properties
    This menu, located on the upper left of the page, allows users to manage their folders and documents. The folder displayed at the top of the list is the current folder. Documents filed within this folder are displayed in the Directory at the center of the page.

Actions

SNA File Transfer Service allows users a number of actions which may be used to manage documents and folders.

 

  1. Create a New Folder
    Many users may wish to create a folder or folders to contain their files before uploading documents. To create a folder, click the “Create a New Folder” menu option. A window will appear. Click inside the white text box and type the name of the document to be created, then click “Create.” A new folder has been added to the directory. To close the “Create a New Folder” window, click the X in the upper right corner. The newly-created folder will appear at the top of the directory until a newer folder is added. To upload documents into this folder, click on the folder name or the folder icon next to it. Once open, all documents will be contained within this folder unless they are moved or deleted.

     

  2. Upload file(s)
    Users may upload files from their computers into the SNA File Transfer Service application. When you click on “Upload File(s), a window will appear. Type the file from your computer into the gray box or click “Browse.” “Browse” will take you into your own system and allow you to select files to be uploaded. Choose the file and click “Open.” The file path will now appear in the gray box. To add another file, click the “Add another file” option. A second gray box will appear and the process can be repeated. Once all files have been selected, click “Upload File(s)” to copy your file(s) to the SNA File Transfer Service application. By checking the box “Overwrite files during upload?” you can update existing files if permission has been granted. To close the “Upload Files to OpenAFS” window, click on the X at the upper right corner.

     

  3. Cut and Paste Selected Item(s)
    Users may move documents and folders from one folder to another by checking the box next to the item to be moved, and then choosing “Cut Selected Items” from the Actions menu. This item may then be moved to another folder by choosing the desired destination on the “Location” path at the top of the page. It is a good idea to check the Documents Directory to make sure this is the appropriate destination before moving the document. Once satisfied of the location, users may move the document by selecting “Paste Selected Items” from the Actions menu. The document or folder will now appear in the directory of the new location.

     

  4. Copy and Paste Selected Item(s)
    Users may copy documents and folders from one folder to another by checking the box next to the item to be copied, and then choosing “Copy Selected Items” from the Actions menu. This item may then be copied to another folder by choosing the desired destination on the “Location” path at the top of the page. It is a good idea to check the Documents Directory to make sure this is the appropriate destination before copying the document. Once satisfied of the location, users may copy the document by selecting “Paste Selected Items” from the Actions menu. The document or folder will now appear in the directory of the new location.

     

  5. Delete Selected Item(s)
    Users may delete folders and documents which may longer be needed by checking the box next to the name of the folder or document and choosing “Delete Selected Items” from the actions menu. Once selected, users will see a box with the message “Are you sure you want to delete: (name of folder or document)” and the options “Cancel” or “OK.” Warning: Once “OK” has been selected, the document or folder will be deleted.

     

  6. Rename Selected Item
    Users may rename a folder or document by checking the box next to the item to be renamed in the Documents Directory. The name of the selected item will now appear in a box where the user may type a new name. Choose “Rename” or “Cancel,” which appear to the right of the text box. If “Rename” is chosen, the new name will now appear in the directory.

     

  7. Set Permissions for Folder
    SNA File Transfer Service includes a Permission Manager which allows owners of folders to restrict access to them. When a user selects “Set Permissions for Folder,” a dialogue box for Permissions Manager will appear. The Permissions Manager displays the title of the folder, the name of the owner of the folder, and “system: administrators,” which is included for administrative purposes. A text box allows users to give administrative permissions to additional users. Permissions Manager allows the owner to choose both “Normal” and “Negative” rights for a folder including:
    • lookup
    • read
    • write
    • insert
    • delete
    • lock
    • admin

    Each of these permissions may be checked to allow users “Normal Rights” or to deny permission by checking “Negative Rights.” When permissions have been set, users must click “Save Permissions” to activate choices.

     

  8. Information
    Whenever an action is taken on an existing folder or document, achieved by checking the box next to the item's name in the Directory, information about the document or folder will appear beneath in the Information menu. The information includes the title of the item and its size.

Favorite Locations

SNA File Transfer Service allows users to easily access frequently-used folders by placing them in the “Favorite Locations” files. The “Favorite Locations” can include any folder to which you have appropriate access permissions, not just folders in the user's home directory.

To use “Favorite Locations,” the user should open the folder he/she would like to add to the list, and click on the “Favorite Locations” link. This will bring up a window with several tab options: View, Add, Rename and Delete. Below, the user will be invited to a favorite location. Folders added to his/her list will appear here.

 

  1. View
    The “view” option will allow users to see the list of folders he/she has placed in “Favorite Locations.” Folders may be selected from this list by clicking on their titles.

     

  2. Add
    To “add” a favorite folder, users should click on the “add” option. A box will appear to name the folder to be added. This name can be anything the user chooses and will not affect the original names of the folders. Users, however, may wish to decide on a specific naming convention before creating too many favorites to avoid confusion over similarly-named folders. Once a name has been chosen, click “add” to create the favorite.

     

  3. Rename
    The names of folders in the “Favorites” list may be easily modified by choosing the “Rename” tab. When a user clicks on the “rename” tab, a list of previously-added folders will appear in text boxes. Users may modify one or all of the folders at this time. Changes will be saved by clicking the “rename” button. Note: Renaming an item under "Favorites" changes only the name of the bookmark, not the name of the actual folder.

     

  4. Delete
    If a user wishes to delete one more folders from the “Favorite Locations” list, he/she may go into the list and choose the “delete” tab. A list of all folders in the “favorites” list will appear next to check boxes. To delete a folder or folders, check the appropriate box(es) and click “delete.” The folder(s) will then be deleted. Note: Deleting an item under "Favorites" deletes only the bookmark, not the actual folder. Warning: The user will not be asked if he/she wanted to delete the item(s) from "Favorites" before removal, so users should be certain of their intent before clicking on “delete.”

View Options

Show Hidden Files/Hide Hidden Files
Users of the SNA File Transfer Service application have the option to display hidden files or to hide them by selecting the proper option under “View Options.” Hidden files would include other directories such as “parent directories,” which may not be relevant to the user.
